Appointment and Engagement Payments

Any payment made to an individual in return for the provision of work or services is treated as an appointment or engagement. This includes the following types of payment:

  • Employment payments to staff
  • Payments to students in return for work done by them
  • Fee payments to visitors (lecturers, speakers or external examiners)
  • Payments to consultants or individuals in return for services provided
  • Payments to agency workers

The method of payment depends on the relationship of the individual with the University.

  1. Employees (full time, part time, variable hours) with University contract - payment made via Payroll.
  2. Casual workers and casual teachers – payment via Casual Payroll.
  3. Agency staff – The recruitment agency should be paid via Purchase to Pay.
  4. Consultants – see the Consultancy Test for details.
  5. Other non-employees

External Examiners

If the degree being examined is a first degree, then payment must be paid via Casual Payroll.

If the degree being examined is a second degree, then payment should be made using the Payment Request Form and paid via the Payments Team. (See Expenses and Advances for details about the process.)

Visiting Instructors, Lecturers, speakers and Teachers

The answer to three questions is required:

  1. Is the individual teaching to an accredited or examined syllabus?
  2. Is the individual expected or required to lecture to material supplied by the department?
  3. Is the individual expected or required to use University equipment, handouts, textbooks, etc?

If the answer to all three is YES – payment should be via Casual Payroll.

If the answer to any one of the above is NO - payment may be made using the Payment Request Form and paid via the Payments Team. (See Expenses and Advances for details about the process.
